The Role:

As an Administrative Assistant at HELIX, you will provide administrative and financial support to our Project Managers, Senior Staff, Employees and Clients, helping ensure the smooth operation of our office and project administration.

Responsibilities:

  • Answering phones and greeting clients and visitors
  • Receiving and distributing mail and courier packages
  • Processing and organizing accounts payable documentation
  • Preparing and completing bank deposits
  • Ordering and receiving office supplies
  • Managing office equipment inventory and coordinating maintenance
  •  Supporting bookkeeping and financial administration, including:
    • Data entry
    • Bookkeeping in QuickBooks
    • Project and Client setup
    • Invoice preparation
    • Client statements
    • Accounts Receivable Management
  • Supporting onboarding and general employee administration
  • Providing general administrative support to multiple team members and departments

Required Qualifications:

Given the variety of responsibilities and our desire to find the right fit for our team, we welcome candidates with a range of education and experience. The ideal candidate will possess many of the following:

  • Administrative Professional Diploma or equivalent experience
  • Proficiency in Microsoft Office, especially Outlook, Word, and Excel
  • 5+ years of administrative or office management experience
  • Strong working knowledge of QuickBooks or similar accounting software is considered an asset
  • Familiarity with project management and enterprise resource planning software such as BQE or BigTime is considered an asset
  • Excellent communication and interpersonal skills
  • Strong organizational skills and attention to detail
  • Ability to work both independently and collaboratively in a team environment
